Renting museum facilities

1. Rental period
The gallery is available during the opening hours of the museum.
8:00AM – 5:00PM (Apr. – Nov.)
8:00AM – 4:00PM (Dec. – Mar.)
* As a general rule, the gallery is not available outside the opening hours of the museum.
* Event set up and cleanup is included in the rental period.
(The setup can begin from 8 am, and cleanup must be completed by the closing time of the museum.)
* Opening hours of the museum are subject to change.

2. Rental fee
1,000 yen/hour
* Rental fees will also be charged for hours needed for event set-up and cleanup.
* When events fall under Article 8 of the Ordinance for Enforcement of the Hachioji Takao 599 Museum, such as lessons and educational activities based on yearly curricula or course syllabuses for daycares, kindergartens, certified childcare facilities, elementary schools, junior high schools, and special needs schools in Hachioji City, they are exempt from rental fees. 3. Cancellation or Suspension of Use
There may be circumstances when facility usage is abruptly suspended or canceled due to public projects, such as its designation as an election polling place or an evacuation shelter during a disaster. Please note that you may be asked to move or remove exhibits and fixtures if the usage is suspended or canceled.
Regarding restrictions on use and compensation for losses, please refer to '14 Limitations on Approval of Use' in the Rules for Using the Public Gallery.

4. Holidays
Open 365 days/year (May close at times for maintenance, etc.)
* The Public Gallery is not available when the museum is closed.

5. Procedures for renting the Gallery
(1) Visit the museum in person, fill in, and submit the required rental application.
(2) Once you submit a rental application form, the reservation will be confirmed after the details of your application and availability are checked. In principle, payment will be required once the reservation is confirmed, even if the facility is not used.

After your reservation is confirmed, please download the rental application form from our website, fill it out and submit it by attaching the completed form to our online application form.
* When the Public Gallery is used for exhibitions of art work or similar events, reviewing the application may take time. There is a possibility that approval may not be granted on the day of application.
(3) The approval document will be issued on the date of use upon payment of the rental fee.

6. Dates for accepting rental applications
As a general rule, rental applications for the Public Gallery will be accepted on the first day of the month three months prior to the date of use. However, in the following cases, applications may be submitted six months in advance.
* When the gallery is used for lessons and educational activities based on yearly curricula or course syllabuses for daycares, kindergartens, certified childcare facilities, elementary schools, junior high schools, and special needs schools in Hachioji City.

7. Using the gallery for exhibitions of artwork
The groups that meet the criteria below are eligible to apply for art exhibitions aimed at the general public, including paintings, photographs, video or film, installations, design, crafts, and other artwork. Individuals may not apply for these events. For further information on required documents and procedures, please contact the museum.
•The groups must have clear descriptions of their activities and be able to submit records of their activities.
•The activities of the groups and their projects should align with the museum’s concept.
•The groups should also be able to comply with the terms listed in the Rules for Using the Public Gallery.

8. Order of application
As a general rule, the acceptance of applications will be on a first-come, first-served basis.

9. Transfer or sublease of the right to use the gallery
The renter shall not transfer or sublet all or part of their usage rights, which have been granted approval, to a third party.

10. Refund of rental fees
As a general rule, paid rental fees may not be refunded.

11. Changes to rental terms
After the reservation is confirmed, changes may be permitted only once, provided that the same organization uses the facility for the same purpose and under the same conditions. Changes must be made during opening hours by the day before the intended date of use. If the museum is closed on that day, changes must be made during opening hours up to two days before the intended date of use. All changes are subject to availability at the time of the request.
*If the rental fee increases as a result of the change, additional payment will be required.
*The original rental fee cannot be refunded even if the rental hours are shortened due to the change.

12. Notification to relevant authorities
The renter is responsible for submitting any necessary procedures, such as applying for the use of copyrighted material or notifying relevant government agencies, depending on the nature of the event.

13. Procedure on the date of use
(1) Presentation of approval document
Before using the gallery, the renter (or a representative) shall present the approval document to museum staff.
The renter may start using the gallery after receiving instructions and guidance.
* The approval document shall not be reissued. Please keep it safe.
(2) Payment of Additional Charges
When extending the rental period, please settle any additional fees.
(3) After use
The renter shall clear the gallery and return it to its original state before leaving, and inform museum staff that the event is finished.

14. Limitations on Approval of Use
Approval for use may be denied in the following cases. In addition, any reservation that has already been confirmed may be canceled. The museum shall not be liable for any loss or damage resulting from such denial or cancellation.
(1) When it is recognized that there is a risk of harming the public interest or disrupting public order and morals.
(2) When it is recognized that there is a risk of damage or other issues that may interfere with the gallery operations and administration.
(3) When information on the rental application form and/or other documents has been falsified.
(4) When the Hachioji Takao 599 Museum Ordinance (hereinafter referred to as “ordinance”), the Ordinance for Enforcement of the Hachioji Takao 599 Museum, the Rules for Using the Public Gallery or other rules have been violated or when violation is a concern.
(5) When it falls under Article 3, 'Cancellation or Suspension of Use,' in the Rules for Using the Public Gallery, and the use is canceled or suspended.

15. Restrictions
(1) General terms
The following activities are generally prohibited.
•Merchandise sales or similar activities
•Solicitation of donations
•Activities involving vibration or noise
•Holding paid events targeting general museum visitors
•Activities that may fall under Article 11 of the ordinance
•Other activities that are prohibited by the museum or deemed to interfere with museum operations
(2) Restrictions on displaying artworks
In addition to the (1) General terms, the following exhibition is prohibited.
•Floor displays
In cases where exhibits are extremely heavy, or there is a risk of damaging or staining the floor, such as placing soil or sand directly on the floor
•Wall displays
•Hanging displays
•Sound installation art
When exhibiting, volume control and soundproofing measures shall be implemented to avoid interference with the viewing of other exhibits in the museum.
•Displays with mechanisms that emit flame, water, or smoke
•Displays emitting strong light, such as flashing lights
•Displays emitting foul smells or that may decay
•Displays made of materials that may cause harm
•Animals, plants, dangerous substances, etc.
(3) Restrictions outside the Public Gallery (inside the facility and on the premises)
The following activities are prohibited.
•Displaying
•Advertising and other similar activities
•Touting and other similar activities
•Displaying or distributing advertising materials, or installing signs and billboards
*As an exception, displays outside the Gallery may be permitted under the following conditions.
•Display of up to one A1 sheet on a rental easel next to the entrance of the Gallery
•Display of up to one A4 sheet using the font and color specified by the museum and on one of the provided standing signboards next to the stairs on the first floor

16. Restrictions on museum admission
The museum reserves the right to deny entry under the following circumstances.
•Individuals acting in a manner that could disturb or discomfort other visitors
•Individuals bringing or accompanying items or animals (excluding guide dogs and similar) that may trouble or inconvenience other visitors
•When it falls under Article 11 in the ordinance

17. Additional notes on gallery use
(1) In the Public Gallery
•The number of visitors shall not exceed the museum’s predetermined capacity.
•The renter shall not change or alter the facilities or equipment without the museum's express permission.
•Smoking is prohibited in the museum (as well as on museum grounds).
•As a general rule, food and drink are prohibited.
•We kindly ask users to take their garbage with them. Thank you for your cooperation.
•The renter is responsible for any accidents or incidents that occur within the gallery from the beginning to the end of the rental period, except for those identified as caused by facility defects. Similarly, incidents or accidents involving third parties other than the renter will also be subject to the same conditions.
•The renter may be required to compensate for any damage or loss to the museum or its facilities caused during the period of use, including during loading and unloading.
•Regarding any loss, theft, or damage of personal belongings or exhibits brought into the gallery, we shall not assume any liability whatsoever.
•The renter is responsible for arranging the personnel for the gallery surveillance, reception, and administration.
•In order to ensure compliance with fire regulations and other laws, please follow instructions issued by museum staff.
(2) Loan of museum equipment
•Tables, chairs, projectors, and other museum equipment are available free of charge. The renter wishing to use these items shall submit a request in advance.
•The renter is responsible for reimbursing any loss, stain, or damage to museum equipment.
•Please note that certain museum equipment is not available for lending.
(3) Parking
The museum does not have guest parking. Visitors arriving by car should park in nearby pay parking lots.
* We recommend that visitors take public transportation to the museum as much as possible.
(4) Loading and unloading
•When an event involves loading and unloading of exhibit items, machinery or other equipment, the renter shall appoint a supervisor to oversee this process.
•The renter shall take utmost care and, if necessary, use protective measures to prevent any damage to the museum facilities.
•The renter who needs to bring vehicles onto museum grounds for the loading and unloading of machinery or other equipment shall inquire with museum staff in advance.
•Please ensure that museum visitors are not disturbed during loading and unloading.

18. Handling of personal information provided when contacting the museum
•Personal information collected by the museum in the process of using the Public Gallery is handled in accordance with the Japanese Act on the Protection of Personal Information, the Personal Information Protection Ordinance, and other related laws.
•The administrator in charge of museum operations is appointed by the City Council and manages these public facilities on behalf of Hachioji City. Information collected by the museum is shared between the appointed administrator and Hachioji City.

19. Change of the Rules for Using the Public Gallery
•The museum reserves the right to change these rules without prior notice to renters when deemed necessary.
•After changing the rules, the revised rules will apply when renters use the Public Gallery.
